Overview
When TED came to Vancouver in 2026, the bar for guest experience was set high. Attendees at TED aren't passive — they're curious, engaged, and expect the unexpected. The conference needed an activation that matched that energy: something interactive, high-quality, and worth talking about long after the final session ended.
Made Theory was brought in to deliver exactly that. Over the course of the event, our team set up two simultaneous live customization stations — one for on-site embroidery on guest backpacks, and one for real-time laser engraving on water bottles — producing over 380 personalized keepsakes that guests took home as a tangible memory of TED 2026.
The Challenge
Large-scale conferences present a unique challenge for live activations: high guest volume, limited time per interaction, and zero room for logistical chaos. Every guest needed to feel like their item was made just for them — without long waits, confusion at pickup, or anything that pulled attention away from the conference itself.
The activation also had to feel premium. TED attracts leaders, innovators, and thinkers from around the world. The keepsakes needed to match the quality and thoughtfulness of the event itself.
The Activation
Live Laser Engraving — Water Bottles Guests brought their gifted water bottles to our engraving station, where our team precision-etched full names, initials, personal slogans, or the TED logo directly onto the bottle. With a turnaround of just 10 to 60 seconds per item and three font options to choose from, the line moved fast and the results were sharp. Guests could watch the entire process happen in real time — which became a moment in itself.
Live On-Site Embroidery — Backpacks At our embroidery station, guests chose from the TED logo or up to three personalized initials, selecting from three font styles and five thread colours. Each piece took one to three minutes to complete. While guests waited, they watched the machine stitch their chosen design directly onto their conference backpack — a slow, satisfying process that turned a branded giveaway into something genuinely personal.
Seamless Drop-Off & Pickup System To keep the experience smooth at scale, we implemented a fully branded guest intake system. Each guest received a numbered pickup card upon drop-off, with SMS notifications sent when their item was ready. This kept congestion low, wait times predictable, and the overall experience feeling organized and considered — not chaotic.
The Result
Over the course of TED 2026, Made Theory produced more than 380 customized pieces across both activation stations. Every item was made on-site, on demand, in front of the guest who would take it home.
The activation generated strong organic social sharing — guests posting their personalized bottles and backpacks throughout the conference — and reinforced TED's reputation for experiences that go beyond the expected.
